How to Write an ATS-Optimized Resume: Step by Step

The Two Audiences for Your Resume

Every resume has two audiences: the ATS software that screens it first, and the human recruiter who reviews it second.

Step 1: Choose the Right Format

Use a single-column layout - Multi-column formats confuse ATS parsers.

Use standard fonts - Arial, Calibri, Garamond, and Georgia are safe.

Set appropriate margins - 0.5 to 1 inch provides adequate white space.

Keep it to one or two pages - One page for most professionals with under 15 years experience.

Step 2: Write a Strong Summary

Include:

Keep it to 3-4 sentences maximum.

Step 3: Structure Your Experience Section

Company Name | Job Title | Start Date – End Date | Location

Followed by 3-5 bullet points:

Organize into categories:

List degrees in reverse chronological order. Include degree, institution, graduation year, and relevant coursework if applicable.

Step 6: Customize for Each Application

For each application, identify 8-10 keywords that appear frequently and add them naturally to existing bullet points.
